The Experts Corner

This month we’re hearing from Vanessa McCarthy of Prickly2Sweet, a leading voice in RTO compliance and data management. Vanessa shares how quality data can transform the way Vocational Education and Training (VET) organisations manage their workforce — shifting the focus from staffing to strategy.

In the dynamic world of Vocational Education and Training (VET), workforce management is no longer just about staffing, it’s about strategic enablement. When data is effectively harnessed, it becomes a powerful tool to mitigate risk, drive professional growth, and ensure every team member is equipped to deliver quality outcomes within the Registered Training Organisation (RTO). When this data is visual, contextual, and tied to real-world risks and goals, it becomes a catalyst for continuous improvement. In a well-managed VET workforce, data doesn’t just inform it transforms.

Why a Risk-Based Approach Matters

A risk-based approach to workforce data ensures that resources are directed where they’re needed most. Rather than blanket compliance checks, RTOs can prioritise areas of highest vulnerability. Key risk indicators can include:

  • Trainer qualifications vs. units they are responsible for delivering and assessing
  • Recency of vocational competency and industry engagement
  • CPD gaps aligned to units of competency/s
  • Staff turnover in critical delivery areas

By mapping these risks, VET leaders can proactively manage exposure and ensure audit readiness. By using a system like PD able VET staff and leaders have an easy system that puts all the activities with the data together.

Data That Signals Effective CPD Facilitation

Continuing Professional Development (CPD) is more than a checkbox, it’s a strategic lever. The following data points demonstrate a well-facilitated CPD program:

  • Access facilitation to CPD opportunities linked with effective role performance
  • Alignment of CPD topics to training package units, updates, learner needs, and audit findings
  • Feedback from students, industry and management
  • CPD hours logged against regulatory minimums and internal benchmarks

Reporting That Drives Accountability and Performance

PD able dashboards and report provide both visualised and collated data, CPD uptake over time and in real time. The true impact of professional learning can easily be revealed and used in business decisions of growth. In the VET world however, the devil is in the detail, that’s why when PD able transcripts are uploaded into the Prickly2sweet QUOLL system, gaps in PD are clearly identified in the units that are trained and assessed. Creating a perfectly matched activity log to analysis loop.
